If you manage to outsource effectively it can be so rewarding and, unless you want to have the increased overheads of employing someone, it’s a viable option for any sized business. The first thing that you need to consider as an entrepreneur or small business owner is what are your strengths? What do you excel at in your business, and what areas are you lacking or simply don’t enjoy doing? Once you’ve established this it’s easy to plan what you want to outsource. Clearly define your Project and Expectations

Defining your project and what you expect from a service provider might seem like an obvious starting point. However, you’d be surprised how many fail to consider these points properly. If you aren’t clear on what your project specifics are, how do you expect anyone else to understand them. This information is crucial in getting a realistic quote and timeline agreed. You need to be specific about the deliverable’s by providing accurate complete information. Give the service provider as much information as you can and above all, be clear and realistic about any deadlines you are working towards.

Do your research first

There’s so much information freely available at your fingertips before you start those initial discussions. Google and social media are great tools to find out loads of interesting information about a business and the people behind it. If their ethos doesn’t fit with your brand then waste no more time and move on to the next. If you find out their reviews aren’t up to scratch or something seems odd then trust your gut and discount them. Ask for recommendations whether it be from friends, family or within a Facebook group. But remember if relying on the latter, proceed with caution and do additional checks unless you can trust the source. It’s also a good idea to approach a number of businesses to be able to make an informed decision. Lastly, don’t base your decision on price alone although it’s tempting to do so. The most successful projects are the ones where the service provider offers a balance of good value and quality results.

Review Portfolios and Legal Documents

We can’t emphasise enough how important this is, regardless of the project value or size. Make sure the service provider’s previous work meets with your expectations. Ask for references if they don’t have any reviews or testimonials readily available. Legal issues can be a real headache if you don’t do your homework at the outset. Believe us we are talking from experience so it’s a good habit to adopt. Make sure you check that the correct insurance cover is in place to protect you in the event of a problem. Also, if you are dealing with a business within a regulated industry check they are registered. You can usually do this quite easily by doing a quick search of the regulatory body’s website. Read their terms and conditions, and any other legal paperwork that they want you to sign carefully. If you are unsure about something then ask them to clarify. Do not sign anything if you are unsure of the repercussions and seek advice. Remember it’s okay to negotiate when signing a contract, it’s almost expected, so don’t be afraid to do so if their terms don’t suit you. Test the Water

It’s a good idea to start any business relationship off with a small simple project to test the water.  This will give you an idea of whether you are good fit and give you confidence in their capabilities. If things don’t work out then you aren’t too heavily invested in continuing with the relationship.

Get it in writing

By carrying out all the correct initial steps such as checking the insurance and legal documents you’re well on your way. But, it doesn’t stop there and by getting everything in writing you can ensure your business is protected throughout the relationship. As the project progresses try to get the most important milestones agreed in writing. If a dispute does arise then you can be safe in the knowledge that you have a paper trail to rely on.
